Emergency Planning for Workplace Safety
Emergency planning is an essential part maintaining a safe Color Me Mine Studio for employees and guests. Studio specific needs will vary from region to region and depend on your physical space. Color Me Mine has provided this basic outline to get you started with your emergency plan. Information provided by management company or landlord should be used in conjunction with your Studio Specific plan.
Selecting Emergency Meeting Places
Decide on safe, familiar places where your staff and guests can go for protection or to reunite. Make sure these locations are accessible for guests with disabilities or access and functional needs. Identify the following places:
Indoor: If your studio is in an area where tornadoes, hurricanes, or other high-wind storms can happen, make sure everyone knows where to go for protection. This can be a small, interior, windowless room, or a designated area in the mall or center marked as a tornado safe room or storm shelter.
Outdoor: This is a place outside of your studio where your staff will lead guests and reunite if there is a fire, earthquake, or other emergency requiring evacuation of the Studio. The meeting place could be a fountain, specific area in the parking lot, or other landmark.
Create a group list on your mobile phone of the people you would need to contact in the event of an emergency or disaster.
Emergency Communication Tips
During a disaster, text is best when using a mobile telephone. This will minimize network congestion, free up space on the network for emergency communications, and conserve battery power.
Conserve your mobile phone battery by reducing the brightness of your screen, placing your phone in airplane mode (this will turn off cell service and wifi), and closing apps you do not need.
During an emergency use the Internet to communicate by email, Twitter, Facebook, and other social media networks. These communication channels allow you to share information quickly with a widespread audience.
Have an emergency contact list for your staff. Be sure to include both telephone and email addresses for everyone on your staff and their emergency contact persons.
Run through the emergency evacuation plan before each Kids Night Out event. Discuss who will be the lead person to take guests out, and who will be the last person to clear the Studio of all guests and personnel.
Practice gathering all staff at your indoor and outdoor emergency meeting places. After you practice, talk about how it went. What worked well, what can be improved? If you make changes to the plan, be sure to print new copies and share with your staff and Home Office.
Update the Emergency Contact Form during on-boarding and termination as well as at quarterly staff and safety meetings. Have the emergency contact sheet printed and kept in an easy to find place in the studio – so it can be grabbed quickly during an emergency.
Review, update, and practice your Emergency Communication Plan quarterly at your Staff Meeting.
